DUTIES: This position works as the principal administrative support and research assistant to the Director of the Brazil Institute. The incumbent works with the Director to organize events, duties of which may include: sending invitations; making travel, catering, and hotel arrangements; preparing associated paperwork; and coordinating other necessary logistical services. Prepares travel vouchers and/or other miscellaneous paperwork to reimburse speakers and staff for expenses. The incumbent will make any other necessary arrangements to help coordinate, and provide assistance for Institute meetings, annual awards dinners, advisory council meetings and other fundraising activities. Will assist with preparation and dissemination of publications. Regularly updates the Brazil Institute's webpage with information about upcoming events and summaries of past events. The incumbent provides research assistance to the Director; maintains an updated database with contact information of those with particular interest in Brazil in order to most effectively circulate information; edits and provides Portuguese to English translation on correspondence and memos; drafts summaries of events; and assists with the coordination of recruiting, selecting and training of interns. Receives visitors, answers phones, and provides information related to Institute activities; prepares a variety of forms, correspondence, and reports on a computer and/or typewriter. Organizes and maintains files for the Institute; and performs other duties as may be assigned.

QUALIFICATIONS: Applicants must have one year of directly related administrative/clerical experience or appropriate education, such as a bachelor's degree from an accredited university which may be substituted for the required experience. Specialized experience in administrative, research, event coordination, and/or clerical work which demonstrates possession of the knowledge, skills, and abilities required to perform the duties of this position. Portuguese language proficiency for purposes of translation and coordinating travel and logistical arrangements

SELECTIVE FACTORS (mandatory):

Knowledge of proper English grammar, spelling, punctuation, and style to include the ability to proofread/copy edit for publication.

Portuguese language proficiency for purposes of translation and coordinating travel and logistical arrangements.

QUALITY RANKING FACTORS(desirable):

Ability to use a variety of standard office software to perform or automate office work

Knowledge of Brazil's history, culture, politics and society through education and/or work/living experience.

Previous experience organizing conferences and seminars.

Previous experience conducting and/or assisting with academic research.
